Around The Clock offers the most up to date features to transmit data from our call center to your office. The primary methods to transmit data are via: Fax Message Delivery System (FMDS); Voice Mail; e-mail; pager and telesecretary. Faxing the data directly from our computer is as easy as 1-2-3. Most clients enjoy receiving the data at pre-scheduled times such as 8AM, Monday - Friday. Automatically, at 8AM, the host computer downloads every message til that point and transfers the data to the fax computer and immediately transmits the data to your fax machine via our multi-port fax server. The benefits of using the fax retrieval method (FMDS) are numerous. For one, every message including the manner is which the call(s) are dispatched is logged, time & day-stamping every procedure. If there is ever a discrepancy with an employee/client/request made/labor dispute, etc., by retaining the faxed messages, they can save you a lot of time and frustration trying to recreate an event or situation. Secondly, the FMDS provides a "hard copy" of all of your messages; this eliminates the redundancy of transcribing a voice mail message, saving time and thus money. For those clients that are frequently on the go, voice mail retrieval may be a more appropriate option for retrieving messages. Messages can be retrieved any time of day from a touch tone telephone through ATC Message Desk. Whether or not you rely on a staff for taking messages or rely solely on voice mail with no human intervention, voice mail is a quick and simple method of retrieving messages. e-mail is our newest
method for retrieving messages and has been highly requested. There are
two primary ways to get your messages with e-mail when you rely on Tele-secretary
assisted messages:instant e-mail notification; and e-mail on "demand".
With instant e-mail notification, as soon as our telesecretary releases
the call, the information is immediately transmitted to your e-mail address.
e-mail on demand is simply that, you call into an automated voice mail
line, simply leave your name and account number and all outstanding messages
are Pager notification is still another method for retrieving messages. You need to have an alpha numeric pager to receive text-style messages and the pager can be purchased directly from Around The Clock. Simply ask our receptionist, Jan, and she will provide you with inforrmation regarding purchasing. The apha pager is a wonderful tool to keep you abreast of your messages when you are out of the office. It will provide you with all of the details so that can immediately return the caller's call. In addition from our staff paging you, your office can obtain software through us that will enable you to receive messages directly from a computer in your office where the page can originate from. If you rely on a numeric pager (also known as a display pager), you will frequently need some additional information from our staff to return the call. As the pager name implies, a numeric pager is simply that, a pager that sends a telephone number. Most people will want to fully understand the nature of the call before returning it and that is where our last method comes in, retrieving messages via a telesecretary, formerly referred to as an operator. Our staff can verbally convey any message necessary, however, with the level of sophistication we offer, few clients will chose this option as there are methods that are more efficient and cost-effective. Fax (FMDS), voice mail, e-mail, pager and telesecretary are the primary methods for transmitting information back to you from your callers.
